QuickBooks Error: “A Component Required to Create PDF Files Is Missing”
QuickBooks Desktop sometimes shows this message when you print, email an invoice or save a form as a PDF: “QuickBooks detected that a component required to create PDF files is missing.” The message goes on to warn that printing transactions, emailing forms and saving anything as a PDF may not work. Usually it is fixed in about fifteen minutes, but the order of the steps matters.
What You Will Notice
- The “component required to create PDF files is missing” message appears.
- Emailing an invoice or other form from QuickBooks does nothing, or fails.
- Saving a report or form as a PDF fails.
- A printer that works in other programs is not recognised inside QuickBooks. This is not always connected, but in our experience it often shows up together with the PDF error, especially after a new printer is installed or after a Windows update.
Why It Happens
QuickBooks does not build PDFs by itself. It uses a Windows print component, the Microsoft XPS Document Writer, to create them. If that component is switched off, damaged, or no longer registered properly with Windows, QuickBooks cannot produce a PDF. Installing or removing a printer, a Windows update, or a stuck print service can all upset it.
The Fix, in Order
If QuickBooks runs on a server, do all of this on the server, not on your own computer.
- Close QuickBooks. Make sure nobody else is working in the program on that computer.
- Install the latest QuickBooks Tool Hub from Intuit if you do not already have it, then open it.
- Run the repair. In the Tool Hub, open the Program Problems tab and choose the PDF & Print Repair Tool. Let it finish. It can take several minutes, and the screen may look idle while it works.
- Close the Tool Hub and restart the computer. Intuit’s support team recommends a restart after the repair, and it is the step people skip most often.
- Test it. Open QuickBooks and save an invoice as a PDF, then try emailing one. If you had a printer problem, check that the printer now appears under File, then Printer Setup.
If It Still Fails: Check the XPS Document Writer
Intuit’s support team says this error often comes from the Microsoft XPS Document Writer being turned off, especially on Windows 11.
- Press the Windows key and R together, type optionalfeatures and press Enter.
- Find Microsoft XPS Document Writer and make sure its box is ticked. If it was not, tick it, click OK, and restart.
- To confirm it works, open Notepad, type a line, choose Print and select Microsoft XPS Document Writer. If it creates a file, Windows can build PDFs again.
- Run the PDF & Print Repair Tool once more, restart, and test in QuickBooks.
Common Mistakes
- Running the repair on the wrong computer. If QuickBooks is installed on a server and you use it through a remote session, the repair and the restart belong on the server. Running it on your local machine changes nothing.
- Not restarting. The repair can finish without errors and still need a restart before it takes effect.
- Using an old Tool Hub. Users have reported that older Tool Hub versions did not fix the problem on Windows 11. Download the current version.
- Restarting a server in the middle of the day. Pick a time when nobody is working in the company file.
If the error continues after all of this, Intuit’s support team suggests contacting QuickBooks Desktop support through the Help menu. They can look at the computer with screen sharing. For more on how QuickBooks behaves on a server, see QuickBooks on a Server: How It Works.
On a Hosted Server
When QuickBooks runs on a hosted server, the print components live on that server, so a PDF problem is fixed there rather than on each person’s PC. That also means one repair and one restart fixes it for everyone using that server. If you notice the message on a hosted desktop, tell your provider so it can be fixed in one place and not on every device.
