How to Set Up QuickBooks Multi-User Mode
Setting up multi-user mode on a local network involves a checklist of things that have to line up exactly right — the right QuickBooks Database Server Manager, the right folder permissions, the right firewall ports. On a hosted setup, this same process is handled once during onboarding rather than something your firm configures itself, but it’s worth understanding what’s actually happening so you know what to expect and what to check if something looks off.
What Multi-User Mode Actually Requires
Three things have to be true at once: the company file needs to live in a folder that’s shared with the right permissions, QuickBooks Database Server Manager needs to be running on whatever machine hosts that folder, and every user’s copy of QuickBooks needs to be pointed at that shared location rather than a local copy of the file.
The Steps, in Order
1. Install QuickBooks Database Server Manager on the machine that will store the company file (on a hosted plan, this is our server, already configured). 2. Place the company file in a folder and share that folder with full read/write permissions for every user who needs access. 3. Run the Database Server Manager’s scan on that folder so it registers the file for multi-user access. 4. On each user’s machine, open QuickBooks and use “Switch to Multi-User Mode” from the File menu, then browse to the shared folder location. 5. Confirm firewall ports 8019 and 56728 through 56732 (or the range your QuickBooks version uses) are open between machines on the same network.
Where This Usually Breaks Down In-House
Folder permissions are the single most common point of failure — a user with read-only access can open the file but not save changes, which looks like a random error rather than an obvious permissions problem. Firewall rules are the second most common issue, especially after a Windows update resets custom rules without warning.
Why This Is a Non-Issue on a Hosted Plan
Every hosted account already has Database Server Manager configured, folder permissions set correctly for every user added to the plan, and no firewall ports to open since every user connects to the same server rather than to each other over an office network. Adding a new user means adding a login, not repeating the setup checklist above.
